  1. Personal Data We Process

We process the following types of personal data from you:

· Name, surname.

· Company.

· Email.

· Phone number.

· History of communications between you and our employees.

· History of activities with the company you work for, in which you are also involved.

· Contracts in which your personal data also appears.

· Business documents (orders, estimates, AWBs) in which your personal data also appear.

· Billing information.

· Transaction ID.

  1. Why Do We Need Them

We need your personal data for the following processing:

On the legal basis of the need to fulfil the contractual clauses or for the steps necessary to conclude a contract at the initiative of the data subject:

· Name, surname – we use this data to identify you as a person involved in the contractual relationship with the company you represent.

· Company – we need this information to finalize the documentation related to the contractual relationship.

· Email – to be able to communicate effectively.

· Phone number – to discuss issues related to the contractual relationship.

· Contract – if a contract is signed between the company, you represent and us that includes your personal data, this document becomes personal data.

· Business documents (orders, estimates, AWBs) - if business documents that include your personal data are exchanged with the company you represent and us, these documents become personal data.

· Billing information – we need to use this information to issue your invoices.

· Transaction ID – this information is used to process payment via your credit card.

Based on our legitimate interest to effectively manage the relationship with the company you represent:

· Name and surname – we need this data to be able to personalize your addressing and to correctly identify you in our information systems.

· Email – we use your email address to communicate with you.

· Phone number – we use the phone number to communicate to you various business.

· History of communications between you and our employees – this data is used by our employees involved in business relationships with the company you represent in order to identify and solve your needs.

· History of activities with the company you work for, in which you are also involved – this data is used by our employees involved in business relationships with the company you represent in order to identify and solve your needs.

  1. What We Do With Them

Your personal data is processed in Process Fusion Inc. located in Canada. Hosting and storage of your data takes place in our data centre, which is located in Canada or cloud service, e.g. Microsoft Azure, that is operated internationally with data centres in selected countries. As specified in the related service agreements, no other third parties have access to your data, unless specifically required by law.

We will comply with any legal and regulatory requirements including fulfilling requests of government agencies, subpoena and/or other legal proceeding. We have taken appropriate measures to ensure that the data provided to us is adequately protected.

  1. How Long We Keep Personal Data

Personal data contained in the financial-accounting documents or in documents attached to the financial-accounting documents will be kept for 7 years and will not be accessed for any purpose other than the legal purpose for which they are archived. After 7 years this data will be destroyed if it’s not in use.

Personal data from our information systems will be kept for 7 years based on our legitimate interest in demonstrating the correctness of tax and business operations, after which they will be anonymized.

  1. What Are Your Rights

If you have reason to believe that any personal data that we have about you is incorrect or incomplete, you have the right to ask to see your personal data, to correct it, to request to be deleted, to request restriction of processing or to object to the processing.
